Project Administrator

About the Company
As a well-established civil contractor with a broad range of clients within the public and private sector, and civil construction projects ranging from $1M - $30M our client has shown consistent growth and now seeks a motivated and dynamic Project Administrator to work across a hybrid office and site-based position.

Responsibilities (not limited to)

- Coordinate and communicate site access requirements with the client
- Assist with new starters by forecasting requirements and preparing for their arrival by organising employment paperwork, medicals (as required), and Personal Protective Equipment (PPE)
- Arrange flight and accommodation bookings for site based personnel, visitors and contractors
- Arrange training requirements, book training and ensure training records are updated in the Pronto system
- Assist in the organizing of site requirements for construction projects (i.e. risk assessments, site access paperwork)
- Maintain familiarity with the project/s being undertaken so an enquiry can be directed to the most appropriate member of the team promptly
- Ordering all site consumables, maintaining spreadsheet for consumables (as required)
- Typing of Construction Minutes (as required)
- Maintain weekly staff registers (flights, rosters, leave)
- Complete word processing, data entry, and assist with project reports (as required)
- Ensure all documents are as up to date as possible within electronic filing systems
- Ensure all documents are created, stored and maintained in accordance with the organisation’s electronic Document Management system requirements
  
About You
  • Over 5 years’ experience working in a similar role;
  • Excellent written and verbal communication skills;
  • Proficiency with MS365 applications, including Excel, Word, Outlook, Sharepoint etc.
  • Experience using Aconex Construction Management software or similar will be very advantageous
  • Excellent organisational and time management skills with the ability to work under pressure.
  • Able to spend (average) 2-3 days a week on site in remote locations (FIFO conditions)
  • Current Drivers Licence.
